Start with the venue's actual fixture count
Ask your venue how many toilets are available to guests during the reception, not how many exist on the property. The owner's house bathroom and the getting-ready suite do not count. A venue with two guest restrooms and a two-hundred-person capacity is telling you something.
The planning rule of thumb for a four to five hour reception with a bar is roughly one fixture per fifty guests, and open bars push that toward one per forty. Two fixtures for two hundred guests during a seated dinner into dancing means a line all night, and the line is what people remember.
Trailer or upscale units
Above about a hundred guests, a restroom trailer is the right answer if the site can take one. Air conditioning, running water, real fixtures, lighting and mirrors. In a Central Texas summer, the air conditioning is not a luxury — a trailer is often cooler than the reception tent.
Below about a hundred guests, or on a property a trailer cannot reach, deluxe flushing units are the honest alternative. Foot-pump flush, interior sink, mirror, and they carry in through a garden gate. Two of them plus a handwash station will carry a hundred-guest afternoon.
The luxury tier — hardwood, stone counters, sound system — is worth pricing if your guests are in formalwear and the restrooms are anywhere near the photographs. It typically runs fifty to a hundred percent over a standard trailer.
The three things that cancel a trailer delivery
Power. A trailer wants a standard dedicated circuit within reach. Many Hill Country venues do not have one where the trailer needs to sit. The fix is a quiet inverter generator, and it should be quoted alongside the trailer, not discovered on the day.
Level ground. The fixtures drain by gravity. A pad that looks flat by eye can be several inches out over the length of a trailer. Ask the supplier to confirm the spot in advance, ideally with a photo or a dropped pin.
The tow path. Narrow ranch gates, a cattle guard, low live oak limbs over a Dripping Springs driveway, and soft ground after rain are the four reasons a trailer gets turned around at the property line. Send photos of the actual access route, not the venue's front entrance.
Timing and staffing
Have the trailer delivered the day before. Setup takes real time, and a supplier promising a two-hour-before-ceremony drop is creating a risk you do not need on that particular day. Most venues allow a Friday delivery for a Saturday wedding; ask when you book.
Attendant service is worth pricing on evening events above roughly two hundred guests. An attendant restocks, keeps counters dry and keeps the line moving, and the trailer still looks good at ten p.m.
Order at least one ADA accessible unit or confirm the trailer has an accessible stall. Guests who need it should not have to ask, and accessible inventory sells out first in spring and fall.

For a four to five hour reception with a bar, plan on roughly three to four fixtures for 150 guests. That is typically a four-stall restroom trailer, or three deluxe flushing units plus a handwash station. Open bar service and events running past five hours push that number up.
What does a wedding restroom trailer cost in Central Texas?

Typical weekend rates run about $600 to $1,200 for a two-stall, $900 to $1,800 for a four-stall, and $1,800 to $4,000 for eight stalls and up. Luxury-finish trailers run fifty to a hundred percent above those ranges. Generator rental, attendant service and long-distance delivery are usually separate lines.
How far in advance should I book?

For Saturday dates in spring and fall — the two Central Texas wedding peaks — book three to six months out. The good trailers and the accessible units are the first inventory to go. Off-peak and weekday dates have far more flexibility.
Does a restroom trailer need power and water?

Power, almost always — a standard dedicated circuit, or a generator. Water depends on the trailer: many are self-contained with an onboard freshwater tank, others want a garden hose connection. Confirm both requirements with the supplier and with your venue before the day.
