Five quick questions. We send your request to portable restroom suppliers across Central Texas and the quotes come back to you. Compare and pick — or don't.
Corporate events split cleanly into two categories with two different answers. Employee-facing events at a park or a ranch are fine with standard units. Anything client-facing, press-facing or brand-facing needs a trailer, because the restroom is part of the impression you paid a lot of money to create.
Match the unit to the audience
A company picnic at a park pavilion with two hundred employees is a standard-unit event. Nobody is judging, and the money is better spent on the food.
A grand opening, a product launch, a client appreciation event or a brand activation is a trailer event. Guests are in business clothes, press may be present, and photography is happening. A row of standard units in the background of the launch photos is a real cost.
The procurement details
Corporate bookings need things consumer bookings do not: a certificate of insurance naming the venue or property owner, net terms or a PO, and a W-9. Ask about all three at quote time, because they are the most common reason a booked rental stalls in accounts payable.
Venue requirements often drive the COI specifics. Get the venue's insurance requirements before requesting quotes so suppliers can confirm they can meet them rather than discovering a gap the week of.
Activations and public-facing events
Anything open to the public needs accessible units at the five percent standard, minimum one. Brand activations in particular attract scrutiny on accessibility, and it is a genuinely bad look to get wrong.
Placement should keep units out of hero camera angles while staying visible enough to find. That usually means behind a structure or a screen, on the path people are already walking, not hidden.
The checklist
- 01Audience — employee-facing or client-facing
- 02Venue insurance requirements before requesting quotes
- 03Certificate of insurance, W-9 and PO or net terms
- 04ADA units for any public-facing event
- 05Placement out of camera lines but on the walking path
- 06Handwashing wherever food is served
What to rent for this
Restroom Trailer
Climate control, running water, real fixtures. The reason nobody remembers the bathrooms.
Luxury Restroom Trailer
Hardwood, stone counters, sound system. Rented for the photos as much as the plumbing.
Standard Portable Toilet
The workhorse. Ninety percent of what gets delivered in Central Texas is this.
Portable Handwashing Station
Cheap, required more often than people realize, and the first thing forgotten.
Corporate Events FAQ
Do I need a restroom trailer for a corporate event?
+
For client-facing, press-facing or brand-facing events, yes — the restroom is part of the impression. For employee picnics and internal gatherings, standard units are appropriate and the budget is better spent elsewhere.
Can suppliers provide a certificate of insurance?
+
Established suppliers can, routinely. Get your venue's specific insurance requirements before requesting quotes so suppliers can confirm they meet them up front. COI issues are the most common reason a booked corporate rental stalls.
Do corporate rentals offer net terms?
+
Many do for established accounts, but it is not the default and it is rarely offered unprompted. Ask about net terms, PO handling and W-9 at quote time rather than after you have selected a supplier.
