Plan for families and for food
Family-heavy crowds use restrooms more than adult-only events of the same size, because parents are taking children. Size a bit above the base tables rather than exactly at them.
Food service means handwashing with soap and running water, not sanitizer stands. Any booth, trailer or serving line handling food needs access to a station. This is the item most commonly left off a church event order.
Accessibility is not optional
An event open to the public should have at least one accessible unit, and five percent of total units where you are running more than twenty. Congregations skew toward a wider age and mobility range than most event crowds, which makes this more important here, not less.
Place accessible units on pavement with a clear route. A unit at the edge of a grass field is not accessible in practice regardless of what it says on the door.
Budget and timing
Weekend event rates apply — delivery Friday, pickup Monday, no servicing needed for a single-day event. That is the cheapest way to buy this.
October is the busiest month in Central Texas for this category by a wide margin. Fall festival weekends compete with the entire regional event calendar for the same fleet. Book six to eight weeks out for October dates.
